1. Our commitment

PayrollCloud Limited is committed to conducting business ethically, responsibly and with respect for human rights. We have a zero-tolerance approach to modern slavery, forced labour, human trafficking, servitude, child labour and exploitation in any part of our business or supply chain.

Although PayrollCloud Limited is not a high-risk manufacturing, logistics or labour-supply business, we recognise that modern slavery risks can exist in any organisation and supply chain. We therefore take proportionate steps to identify, prevent and address risks connected with our operations, suppliers, partners and service delivery.

This statement sets out the steps PayrollCloud Limited takes to reduce the risk of modern slavery and human trafficking in our business and supply chain.

2. Our business

PayrollCloud Limited is a UK-based provider of cloud HR, payroll, Oracle implementation, integration, support and managed service solutions. Our services are primarily professional, digital and SaaS-based, including payroll advisory, HR/payroll system implementation, managed payroll support, data migration, integration, reporting, testing and ongoing service management.

Our workforce is mainly UK-based and engaged in professional services, technology delivery, payroll operations, customer support, project management and business administration. We do not operate manufacturing facilities, physical production lines, warehouses, construction sites, transport fleets or labour-intensive overseas operations.

3. Our supply chain

Our supply chain is mainly made up of professional and technology suppliers, including:

  • cloud and software providers;
  • IT, hosting and cyber security suppliers;
  • professional services providers;
  • insurance, finance, legal and accounting services;
  • office, telecoms and business administration suppliers;
  • recruitment and contractor support services, where required.

We assess modern slavery risk as lower than sectors such as manufacturing, agriculture, construction, logistics, cleaning or agency labour. However, we recognise that risk may still exist through extended technology supply chains, outsourced services, recruitment routes, contractor engagement and lower-tier suppliers.

4. Policies and standards

PayrollCloud Limited maintains internal standards and controls intended to support ethical business practice and responsible supply-chain management. These include:

  • ethical business conduct expectations;
  • supplier due diligence and onboarding checks;
  • data protection and confidentiality requirements;
  • information security controls;
  • anti-bribery and anti-corruption expectations;
  • right-to-work checks for employees;
  • fair recruitment and employment practices;
  • whistleblowing and escalation routes;
  • supplier review and contract management processes.

All employees and representatives are expected to act with integrity and report any concern relating to exploitation, unethical conduct, forced labour or human trafficking.

5. Due diligence and supplier management

PayrollCloud Limited applies a proportionate approach to supplier due diligence. The level of review depends on the nature of the supplier, the service provided, the countries involved, the value of the relationship and the potential risk profile.

Where appropriate, our supplier management approach may include:

  • checking supplier identity and business legitimacy;
  • reviewing contractual terms and compliance obligations;
  • requiring suppliers to comply with applicable law;
  • assessing information security and data protection controls;
  • considering modern slavery and ethical trading risks;
  • reviewing whether services involve subcontracting or overseas delivery;
  • monitoring supplier performance and service quality;
  • escalating or terminating relationships where serious concerns arise.

We expect suppliers to operate responsibly and to take reasonable steps to prevent modern slavery and human trafficking within their own businesses and supply chains.

6. Employment and recruitment controls

PayrollCloud Limited is committed to fair and lawful employment practices. We do not charge recruitment fees to workers and do not knowingly engage workers through exploitative arrangements.

Our employment controls include:

  • verifying the right to work in the UK where applicable;
  • issuing clear employment or contractor terms;
  • paying workers in accordance with applicable legal requirements;
  • ensuring workers are free to leave employment subject to lawful contractual notice;
  • maintaining appropriate records for employment and payroll purposes;
  • providing routes for concerns to be raised confidentially.

We do not tolerate coercion, forced labour, retention of identity documents, unlawful deductions, debt bondage, intimidation or restriction of worker movement.

7. Risk assessment

PayrollCloud Limited considers its highest potential modern slavery risk areas to be:

  • indirect technology supply chains;
  • third-party support or contractor arrangements;
  • any outsourced service providers;
  • suppliers operating in higher-risk jurisdictions;
  • suppliers using subcontractors without adequate oversight;
  • low-paid or temporary labour used by suppliers outside PCL’s direct control.

Our approach is to keep risks under review and apply proportionate mitigation based on the supplier and service profile.

8. Training and awareness

PayrollCloud Limited promotes awareness of ethical conduct and modern slavery risks through management oversight, supplier governance and internal communication. Relevant staff involved in procurement, recruitment, supplier management, service delivery and contract management are expected to understand the importance of identifying and escalating concerns.

We will continue to strengthen awareness as the business grows, particularly for staff involved in supplier selection, payroll operations, public-sector contracting and managed services.

9. Reporting concerns

Employees, contractors, suppliers and other stakeholders are encouraged to report any concern relating to modern slavery, human trafficking, exploitation or unethical labour practice.

  • reviewing this statement annually;
  • strengthening supplier due diligence where appropriate;
  • maintaining fair employment and recruitment practices;
  • reviewing supplier and contractor risk;
  • improving staff awareness;
  • documenting actions taken in response to any concern;
  • aligning our approach with public-sector procurement expectations.

During the current reporting period, PayrollCloud Limited has not identified any confirmed instances of modern slavery or human trafficking within its direct business operations.
